EXECUTIVE ASSISTANT TO THE DIRECTOR

The American Civil Liberties Union of Arkansas (ACLU-AR) seeks a dynamic team player to fill the position of Executive Assistant to the Director. This key position requires the ability to maintain confidentiality, exercise sound independent judgment, attend closely to details, and take initiative. He or she will work closely with and report directly to the Executive Director.


The ACLU-AR is a non-profit, nonpartisan organization that works to defend and expand individual rights and personal freedoms guaranteed by the U.S. and Arkansas Constitutions, the Bill of Rights, and state and federal civil rights laws. The ACLU-AR advocates for a broad range issues, including, but not limited to, free speech, racial justice, freedom of religion, lesbian and gay rights, reproductive freedom, criminal justice, prison and jail conditions of confinement, immigrants' rights, and privacy rights. An affiliate of the national ACLU, the state affiliate has members across Arkansas and engages with all levels of government. Responsibilities:


Managing Up



  • Support the work of the Executive Director, including tracking and responding to correspondence and calls, drafting communications, and managing her schedule.

  • Maintain Executive Director's files.

  • Assist the Executive Director as needed, whether in operations, strategy, HR, or other areas.


Light Bookkeeping and Financial Reporting



  • Handle Accounts Payable and Receivable and banking; generate reports as needed, using Quickbooks and Excel (this does not include Payroll).

  • Assist the Executive Director in preparing the annual budget and quarterly financial reports.


Operations



  • Work with the Office Manager to design and implement effective office operations and systems; ensure that operations and systems are comprehensive, efficient, secure, and comply with ACLU policies and practices; maintain the integrity of paper and electronic filing systems.

  • Maintain office calendar and ensure state, federal, financial, organizational and other deadlines are met.

  • Filed relevant non-profit documents with the State.

  • Manage contracts and agreements.

  • Support staff with IT, HR and financial matters.

  • Maintain administrative human resources files and documentation (both paper and electronic) in an organized, accessible and confidential manner.

  • Administer benefits programs and provide documentation to staff.

  • Provide administrative assistance to the development team, including correspondence, data entry, and assistance with donor events.

  • Identify and coordinate with Information Technology, Bookkeeper, Human Resource, Finance contractors and other office vendors.

  • Provide administrative and logistical support to the Board of Directors.

  • Contribute to a positive and welcoming workplace atmosphere.


Compensation & Benefits: Salary range is $35,000 to $ 50,000 DOE. Excellent benefits offered, including employer paid health insurance and dental plan; matching 401(k) retirement plan; sick, vacation, and holiday leave.

Qualifications:


The finalist will bring a strong commitment to and understanding of the mission of the ACLU and work experience that demonstrates professionalism, a strong sense of discretion and an ability to take initiative to resolve problems and to exercise good judgment in stressful circumstances. Exceptional interpersonal skills and ability to work cooperatively with others and be open to new ideas. Other qualifications include:



  • Highly skilled using computers and other office equipment.

  • Demonstrated high level of computer literacy with experience using Quickbooks or similar accounting program, Microsoft Word and Microsoft Excel for financial reporting and ability to professionally format documents. Must be able to use technology and learn new programs easily.

  • Clear, concise, precise writing ability.

  • Excellent organizational and problem-solving skills, including a strong attention to detail. Ability to work independently and manage several projects at various stages of completion.

  • Some financial/budgeting acumen: experience with spreadsheets and facility with numbers.

  • Ability to maintain professional, collaborative relationships, communicate and work effectively with the public, volunteers, staff, and Board members.

  • Work experience that demonstrates a professional and flexible work style and shows creativity and initiative.

  • A commitment to the goal of social justice is essential.

  • Must have vehicle.

  • Ability to work occasionally work beyond normal business hours as required; ability to work occasional weekends (at least 4/year), with prior notice and overtime.
