JOB DESCRIPTION



TITLE: Administrative Assistant



CATEGORY: Part-time



REPORT TO: Senior Pastor



GENERAL PURPOSE: This position serves the church by providing professional administrative support



to the Senior Pastor and church ministries.



ESSENTIAL JOB RESPONSIBILITIES:



1. Receives visitors and telephone calls to the church office, ascertains nature of requests and personally provides information where routine or procedural matters are concerned. Refer all other matters to the Senior Pastor or appropriate ministry leader.



2. Assist in maintaining the Senior Pastor’s calendar. Coordinate with ministry leaders to ensure commitments are accurately recorded and does not conflict with other engagements.



3. Prepares a variety of correspondence, i.e. letters, programs, flyers using office automation hardware and software systems. Proofreads/edits correspondence to ensure established guidelines are met.



4. Prepares and publishes monthly church calendar. Gathers all pertinent information for meetings, rehearsals, birthdays, anniversaries, sick and shut-in members, and other events.



5. Prepares funeral and other special event programs in accordance with guidelines and the Senior Pastor’s approval.



6. Responsible for publishing and disseminating publicity on special events and activities to newspapers, email and other churches. Maintains official bulletin boards, posting current notices and removing obsolete materials in a timely manner.



7. Maintains electronic and hard copy file plans. Receives and files correspondence, reports, photos, flyers, meeting minutes and other pertinent information according to the file plan. Ensures proper maintenance and archival of records.



8. Maintains an accurate computerized mailing list of churches and their pastors. Notify Membership Ministry of changes in name, mailing addresses and telephone numbers of church members.



9. Orders office supplies on a timely basis. Ensures office equipment is well maintained and serviced.



10. Arranges meetings, conferences, and seminars. Assembles information for the Senior Pastor’s approval. Records minutes of meetings if required by the Senior Pastor.



11. Make necessary arrangements for the Senior Pastor’s travel to include hotel accommodations, air and/or ground transportation, and conference registration.



12. Secure hotel accommodations and transportation for guest speakers and other visitors as required; acquires speakers’ biographies and photos for engagements.



13. Receives and processes incoming mail, distributing all routine mail as appropriate.



14. Assists in defining administrative procedures and substantive matters for weddings, obtain all pertinent information and submit to the Senior Pastor for approval.



15. Performs other related duties as assigned.



KNOWLEDGE, SKILLS AND ABILITIES:



1. Requires Associate Degree in Administrative Support Technology or Secretarial Science and three to five years administrative support experience.



2. Requires effective planning, organizing and leadership skills.



3. Requires advanced knowledge of Microsoft Word, Excel and Publisher Software.



4. Requires working knowledge of social media, to include Facebook.



5. Requires ability to use all standard office equipment (pc, laptop, fax, scanner, printers, and copiers).
