The Wisconsin Foundation and Alumni Association (WFAA)*, the private fundraising and alumni relations organization for UW-Madison, is recruiting for a Prospect Development Data Specialist to join our Research and Prospect Management (RPM) Team.

The Prospect Development Data Specialist ensures prospect development data quality and accuracy by overseeing data clean up and enrichment projects and managing regular data quality review tasks.

Essential Functions

Wealth Screening Administration

  • Prepare prospect lists and submit to vendor for regular wealth screening analysis.

  • Use research techniques to verify wealth screening results.

  • Cross-reference screening results with existing wealth data and update constituent records as necessary.

  • Identify high capacity prospects, and facilitate prospect assignment in conjunction with the appropriate Research & Prospect Management [RPM] team member.

Prospect Data Quality Management

  • Maintain a schedule of regular data audit tasks to ensure that prospect data is optimized for each of the following purposes:

  • Producing high-quality prospecting lists.

  • Robust reporting and analytics.

  • End-user navigation and usability.

  • Complete all regular audit tasks and ensure appropriate backup when needed.

  • Provide feedback about patterns or opportunities for streamlined activities or prospect assignment to supervisor.

  • Provide guidance to staff on prospect data quality improvements.

  • Develop and maintain procedure documentation.

  • Carry out focused prospect management data cleanup projects as needed.

  • Provide clear, accurate and comprehensive information about prospect data structure and system function to BI/Reporting team as needed. Follow action plans and work to achieve identified goals.

  • Other Responsibilities

  • Manage team projects queue in partnership with RPM leadership.

  • Provide back up to other research and prospect management functions during absences and periods of high activity.

  • Demonstrate an understanding of organizational administrative policies and processes.

  • Demonstrate a cooperative and courteous manner in all communications with WFAA and Campus colleagues, and with the public at large.

  • High school graduate required. Post high school training, college degree, or equivalent preferred.

  • Minimum of three-(3) years of experience in data entry, data auditing and/or reporting and data analysis.

  • Experience in non-profit fundraising, prospect research, or prospect management preferred.

  • Data entry and database query experience required, preferably in Blackbaud CRM, Raiser's Edge or other fundraising CRM software.

  • Capacity to become fluent in Blackbaud CRM Query, Export and Batch update procedures required.

  • Moderate to advanced Microsoft Excel skills, SQL skills and mail merge experience preferred.

  • Experience with Confluence and Jira, or similar project management software desired.

  • Ability to interact well with people of diverse backgrounds; great attention to detail; ability to organize task list in a transparent way and meet distinct deadlines; ability to conduct both repetitive data tasks with consistency and utilize critical thinking for more complex projects.
