The Staff Accountant will be responsible for preparing journal entries, reconciling general ledger accounts and performing the month end close with minimal supervision. In addition, this role will process monthly sales tax and filings with Vertex, track and report daily cash, process quarterly intercompany reconciliations with our parent company and subsidiaries. The Staff Account will work closely with external auditors and assist/support the Finance team on ad hoc reports and special projects and initiatives.

Job Responsibilities


  • Daily recording and reporting of all cash movement and balances as well as forecasting weekly cash requirements
  • Daily funding of bank accounts for clearing checks; prepare wire transfers as needed; clear checks, wires and ACH payments in JDE
  • Responsible for ensuring the timely reconciliation of all bank accounts to the GL
  • Work with bank contacts to resolve issues and coordinate/prepare documentation, as needed
  • Ad-hoc analysis and reporting for parent company for cash and related transaction activity

Office and Storage Leases:

  • Manage and maintain files
  • Reporting for monthly analysis
  • Reporting for annual tax package

Monthly Close:

  • Prepare and post journal entries and recording monthly and annual accruals
  • Prepare and record all required entries for payroll and employee benefit expenses. Reconcile all activity to the General Ledger and work with HR on resolution of issues

Sales Tax:

  • Responsible for the processing (filing and remittance) and detailed accounting of US sales and Canadian GST/PST taxes and input credits.
  • Primary contact with Vertex, regarding returns processing and resolving issues
  • Maintain compliance, research and filling of all information forms
  • Responsible for monthly reconciliation of all sales tax accounts
  • Assist the Senior Accountant in ensuring compliance to sales tax laws and with state audits
  • Heavily involved in the annual external state sales and use tax audits in performing required testing, substantiations, and other requests

Intercompany Reconciliations:

  • Reconcile intercompany accounts and resolve differences working with parent company and other contacts.
  • Prepare the quarterly intercompany package to be submitted to parent company.

Accounts Payable:

  • New vendor set up paperwork
  • Review/verify/enter AP invoices – research and resolve invoices discrepancies and issues including correspondence with vendors & response to inquiries
  • Payments review


  • Monthly – report net sales by store to each stores’ landlord.
  • Monthly – coordinate / follow up with franchisees for net sales reports


  • Prepare and maintain detailed information for monthly prepaid insurance amortization schedules. Book entry.
  • Prepare maintain and prepare annual business insurance reviews / renewals. Gather and file all supporting Insurance information for reference and audit - includes key contact for internal departments in resolving or administering insurance for vehicles.


  • Min of 5 yrs experience in Accounting or related areas
  • BS or BA in Accounting or Finance
  • Strong ERP systems / PC skills - proficiency in Microsoft Applications particularly in Excel skills (v-lookups & pivot tables required)
  • Proficiency in JD Edwards
  • General knowledge of accounting and financial statements with a general knowledge of US GAAP
  • Experience in preparing journal entries, account reconciliation and analysis and bank reconciliations
  • Understanding of the P & L and Balance Sheet
  • Basic understanding of sales and use taxes
  • Self-starter, organized, analytical and detailed oriented, ability to work independently
  • Strong organizational skills and ability to prioritize workload in order to meet tight deadlines in a fast-paced and dynamic work environment
  • Willing to collaborate/work across the organization to resolve issues/opportunities
  • Communicate efficiently and effectively with co-workers as well as outside agencies
