Events & Sales InternResponsibilities As an Event Design and Sales Intern, you will gain hands-on experience in the event design and sales industry. Your primary responsibilities will revolve around assisting with the design and execution of events, as well as supporting the sales and marketing efforts.Showroom Maintenance Daily TasksEnsure there is no trash on the floor and showroom is cleanMake sure all lights are on including cafe lighting and chandeliersCheck the kitchenette sink and make sure all dirty dishes are brought down to be washedDo a quick walk through and fluff lounge areas Make sure linens are folded nicely and placed on the correct rackDo a quick scan of tables and shelves to make sure everything looks neat and styledWeekly Tasks Check refrigerator to make sure client beverages are stocked and alert purchasing department if anything needs to be reorderedCheck cupboards to make sure coffee cups and saucers are stockedGo through the showroom inventory sheet and highlight missing items; restock what you can and send list of any additional items to the warehouse manager and operations managerFollow up the following day to ensure all items have been replaced to their proper locationIf any items are out on an event, find a suitable replacement or make sure that an out on event sign is in place Pre-Production Participate in our pre-production phase of event styling by reviewing customer event details and event rental contracts to understand the vision of the event decor.Review and digest any available inspiration photos from clients as well as photos from our portfolio related to what you are re-creating.Assist the team in thinking through the items (supplies, ladders, carts, tools, extras) we will need onsite to pull off the desired elements.Assist in pulling all of the inventory and supplies that the customer has ordered and that we know we will need to craft the perfect environment. Get comfortable pitching in on the forklift occasionally (if you’re certified!) to help pull down the large items.Check all inventory items for quality.Carefully pack, stage, and load decor and rental elements. Take extra care with glassware. Ensure appropriate care and temperatures for delicate items like fresh flowers!SalesCreating the most incredible experience for our clients and building that trust in you will help you lock in that sale.Prepare yourself prior to the consultation. All consultations are assigned by The Director of Sales. They are color coded for your reference. Prior to your assigned consultation review the consultation form filled out by the client and any venue notes in Highrise.During consultation act as the expert and instill trust in the client. Guide them through the appointment with your knowledge of floral, our inventory and their venue.Remember the clients best interest but also guide them to both Festivities policies and restrictions set about by the venue. Set the right expectation.Dont sell out of your pocket. Sell into theirs. Create the dream big picture for the but help them to rely on you in creating the look that fits within their budget. Remind them we can always scale back. Dont be afraid to talk budget, they might not always give you a straight answers but it is important to know so that you can sell them the best for them.Remember not every style will line up with yours. Make each client vision come to fruition by understanding their style and melding it with your expertise. It is important to guide them on what looks best within the look they desire.Purchasing + SchedulingWork with Management to research, and purchase products to fulfill orders.Track approved overbookings as quotes are converted to reservationCreate PO for new inventory and input it into the rental software systemUtilize task features in POR to track approved overbookings on quotesConfirmation email to clientFinal reach out to the venue to recap install times, strike times, loading dock notes, storing areas for any boxes or materials, event timeline, deliveryUpdate contracts as needed based on client/venue requestsOnsite Event InstallationDrive loaded vehicles (a variety of vehicles from small trucks and SUVs to 26′ Box Trucks – no special licenses needed) to our home-away-from-home event venues – we work all over the Twin Cities at ballrooms, golf clubs, hotels, special event centers, private homes, parks, parking lots, etc. You name it. Each has its own fun challenge of loading docks, etc.Load in all of the items and supplies. Survey the space and re-read the details of the client’s design and desires. Work with team members and crew captain to ensure an orderly plan of priorities and order of operations.Tackle on-site event styling with gusto! Depending on the event, the styling will include such items as setting up rows of perfectly spaced wedding ceremony chairs, ensuring the linen are laid out evenly with matching seams, placing chargers “just so” on tabletops for that perfect place-setting, tying a myriad of artistic sash ties on chairs or over chair covers, placing and “sprucing” centerpieces, setting up props and decor, styling lounge areas and pillows, and more.On some more advanced events, there will be custom styling like onsite design of fabric draped ceiling treatments, lighting placement and focusing, floral archways or ceremony focal pieces, backdrop creation, and more.When you’re done, you’ll check it all over. You’ll take photos of your gorgeous work. You’ll count everything in the room and any extras you’re leaving. You’ll document what went well, what didn’t, what the salesperson needs to know to tell the client/venue, and what the strike crew will need to keep in mind when they arrive (unless you’re coming back for that part)!After you ensure you have dotted every i and crossed every t, you’ll be on to the next event of the day!!! On event days, you’ll work until it is complete and the client is thrilled. Sometimes we get done faster than anticipated and other times, it takes longer than we thought. A team-oriented mentality, positivity, and enthusiasm is key.And once we’ve helped make memories all over the metro area for that week, we’ll go back (at all hours of the day) and carefully take down our styled creations and precious inventory. You’ll help package it and load it and bring it back to our HQ so we can get it ready for the next fabulous celebration.Once it’s back at the office, you’ll help count it all to check it back in and then look it all over to determine how it fared. What needs repair or touch-ups? What needs to be cleaned? Are there items that are missing that we need to request from the client?Then you’ll jump in – with fun tunes on and a team spirit – to help wash/clean/fix and put away all of the event goodies so they are sitting ready for the next shindig.Design Capabilities + ProposalsUsing the Festivities Master Presentation Template assists the sales team in creating capabilities for subscriptions as well as other designs as assigned by the Director of Sales or General Manager. Stay on top of trends and design so that we are elevating each proposal and putting the best of the best into what is presented.Assist in answering phones and take down leads. The Event Design + Sales Team is the first responsible for answering phones. The goal is for all phone calls to be answered on the first ring at the latest the second ring. Transfer calls to sales team as available or take down the following notes and email leads to Director of SalesName, Phone Number, Email, Event Date and VenueCapstone Project Virtual Consultation Research – what does the future look like? How is this side of sales evolving? What do couples want from their experience now? How do we get there? Research interactive design proposals and technology tools needed. General Requirements You are a dependable person who shows up on time. You are a caring person who will treat company inventory and devices with respect. Comfort with technology and a willingness to learn new systems quickly. Ability to stand, stoop, and bend at the waist and knees for extended periods. Ability to adapt to dynamic environments and solve problems proactively. Ability to lift, push or pull up to 50lbs regularly throughout the shift. History of building positive relationships with venue partners and facility managers. Ability to conserve and protect company assets. Maintain a clear and organized work environment. Required to stand and walk for extended periods, often 8+ hours per day. Work involves frequent bending, stooping, twisting, reaching, and kneeling. Must be able to work both indoors and outdoors in all Minnesota weather conditions year-round (extreme heat, cold, rain, snow). May be exposed to variable temperatures between indoor and outdoor environments. Must be able to safely navigate various terrain including stairs, ramps, unpaved surfaces, and uneven ground. Manual dexterity required for handling delicate dcor items and equipment. May require working at heights on secure ladders or lifts. Ability to maintain balance while carrying items. May be exposed to typical event environment elements including but not limited to: dust, pollen, and other airborne particles; various cleaning solutions and materials; variable noise levels; variable lighting conditions. Excellent communication and interpersonal skills, with the ability to resolve conflicts and foster collaboration. Detail-oriented with a focus on accuracy and efficiency. OverallPlease be prepared.
