This role is critical to ensuring sufficient vendor capacity, maintaining compliance, and upholding high service quality standards across all operating markets.The Vendor Operations Coordinator will be responsible for sourcing and onboarding vendors, overseeing compliance requirements, managing vendor performance, and ensuring smooth communication between vendors and internal teams. The ideal candidate has experience in vendor recruitment, operational logistics, and performance management, with a strong ability to maintain structured processes and high service standards.ResponsibilitiesVendor Recruitment & SourcingActively recruit and source vendors/crews to meet Lawn.coms operational capacity needs.Develop and implement sourcing strategies to attract high-quality vendors through multiple recruitment channels.Manage and maintain a pipeline of prospective vendors to ensure adequate service coverage.Lead and oversee the vendor recruitment team, ensuring recruitment targets are met.Vendor Onboarding & ComplianceManage the end-to-end onboarding process, ensuring vendors are trained on Lawn.coms policies, technology, and service requirements.Ensure all vendors meet compliance requirements, including signing all required onboarding agreements, providing valid insurance, and passing background checks.Maintain up-to-date compliance records, ensuring all documentation is accurate and stored in the CRM system (Microsoft Dynamics 365).Vendor Performance ManagementTrack and analyze vendor performance using KPIs such as service completion rates, quality scores, and compliance adherence.Utilize the Vendor Scorecard to assess vendor performance and identify improvement areas.Conduct regular evaluations and implement corrective actions for underperforming vendors.Resolve vendor disputes related to service execution, payments, and compliance issues.Capacity Planning & Operational SupportEnsure adequate vendor coverage in all service zones, adjusting recruitment efforts based on market demand.Collaborate with the dispatch and operations teams to optimize vendor assignments and minimize service disruptions.Vendor Relationship Management & CommunicationServe as the primary point of escalations for vendors, fostering strong relationships and clear communication.Provide ongoing support and guidance to vendors regarding job assignments, service expectations, and quality standards.Address vendor inquiries in a timely manner and escalate critical issues to executive leadership when necessary.Payment & Invoice ProcessingEnsure vendors submit invoices within required deadlines for on-time payment processing.Work closely with accounts payable to resolve any vendor payment disputes.Reporting & Continuous ImprovementMaintain accurate records of vendor interactions, performance data, and compliance tracking within Dynamics CRM.Provide weekly updates to senior management on vendor performance, recruitment progress, and operational challenges.Identify and implement process improvements to enhance vendor efficiency and service quality.Performance Success ResultsVendor Acquisition Goals: Meet or exceed monthly recruitment targets for new vendor onboarding.Vendor Compliance Rate: Maintain 100% compliance with FSVA, insurance, and background check requirements.Service Coverage: Ensure optimal vendor capacity to prevent service disruptions and delays.Vendor Satisfaction & Retention: Improve vendor retention through proactive engagement and support.Qualifications & ExperienceEducation & Experience:A bachelors degree in business administration, operations, supply chain, or a related field is preferred.2+ years of experience in vendor management, recruitment, logistics, or operations coordination.Skills & Requirements:Strong understanding of vendor onboarding, compliance management, and performance tracking.Experience working with CRM systems (Microsoft Dynamics 365 preferred).Ability to manage multiple vendors and operational priorities in a fast-paced environment.Excellent problem-solving, negotiation, and conflict-resolution skills.Strong communication skills, with the ability to build relationships with vendors and internal stakeholders.Bilingual (English/Spanish) is a plus.
